The Administrative Assistant will be responsible for several executive and management duties in support of the Office in support of the U.S. Agency for International Development (USAID), Management (M) Bureau, and Information and Records Division (IRD). Responsibilities Support the development, planning, and implementation of M/MS/IRD initiatives and special projects; Track and submit key, administrative data points related to M/MS/IRD staff, organization, and activities; Compile and/or prepare briefing materials, ensuring all relevant information is available for projects, events and activities, conferences, travel, etc. Coordinate with offices across the bureau on documentation and meetings; Assist with new and ongoing administrative requirements and deliverables; Provide a variety of administrative support and correspondence complying with USAID requirements; Develop processes, operating procedures, and administrative controls for cross-functional activities; Liaise with Agency Administrative Officers and other stakeholders to improve customer feedback; Review productivity, monitor problem areas, and oversee implementation of solutions to increase efficiency; Provide an analysis of the existing practices and make recommendations for improvements; Establish project-specific standards and templates; Analyze customer service feedback and implement solutions; and Other duties as assigned. Qualifications High School Diploma or GED required Associated degree preferred 5+ years of relevant work experience Experience as an intern, support contractor, government staff, or industry staff Experience with IT ticketing tool management systems such as Service Now Experience in project management Experience with Microsoft Office, including Excel, PowerPoint, and Outlook Experience with Visio, Tableau, and data visualization software Experience with customer-service software systems Experience with completing individual tasks effectively Experience with working in a team environment Excellent people skills Background check and ability to obtain USAID Facilities Access Knowledge, Skills, and Abilities: Ability to gather and analyze data effectively Ability to apply critical thinking to a wide variety of problems Ability to comprehend and analyze complex problems Ability to obtain USAID Facilities Access Awareness of project design capabilities, including project management, organizational design, and mission support optimization, process improvement, performance management, strategy development and transformation, change management, and IT strategy and business architecture. Possession of excellent oral and written communication skills.
