Your new role
The Timetabling Co-ordinator has a key role in managing the booking of central University space across all campuses, ensuring that space is used efficiently and appropriately for non-scheduled activity. The post holder will also co-ordinate and process ad-hoc lecture recording requests, liaising closely with colleagues in E-learning and to ensure that intellectual property permissions have been granted.
The post-holder will also assist with general office administration for the department as required.
To operate integrated booking systems for teaching rooms, recording details of the services required and liaising with the appropriate points of contact to ensure the smooth running of teaching/events.Deal with room booking requests from non-commercial users, identifying and referring commercial bookings to the appropriate colleagues in Events & Hospitality and notifying them of room availability.Liaise with other schools and institutes to obtain details of the timetables and associated room and equipment requirements, including attending timetabling meetings, as required.Responsible for the interrogation of booking databases and manipulation to provide data management reports on efficiency of space use.To receive bookings for all student societies, ensuring that these are booked in accordance with established procedures.Circulate details of required services and facilities to service-providers.To maintain/update the AV inventories for centrally timetable rooms across the various sites.To act as key contact for all room booking, timetabling and lecture capture queries.Fault reporting for issues which arise in the teaching/meeting rooms or lecture theatresTo attend and report to weekly team meetings.To assist with general administrative tasks as required
What you'll need to succeed
Experience with ScientiaExperience of using Syllabus Plus and Kinetics specialist booking management software or similarA levels or equivalent standardExperience of working in higher education, or a similar environmentExperience of managing and prioritising a varied workload, working independently or with minimal supervisionExperience of keeping accurate records and filling systemsExcellent customer service skills, Excellent interpersonal skills, including influencing and negotiationExperience of communicating with a diverse range of people, both individual & groupsKnowledge of lecture capture technology and Echo 360 softwareSubstantial proven record of administrative experience in a medium/large complex organisationStrong administrative & IT skills (especially email, MS Excel & MS Word programsAbility to take a constructive & cooperative approach to problem solvingAble to communicate effectively, both orally and in writing with staff at all levels
