
The Assistant Project Manager (APM) works directly for and with the Planning, Design, Construction and Infrastructure and is responsible for creating and executing plans for moderately complex projects. The APM works directly with division leadership on a number of duties and responsibilities which are listed below:
1. Help organize and facilitate project-related meetings, including the creation of agendas and preparation of materials. Prepares and/or edits meeting minutes, presentations and tables
2. Maintains detailed records and documentation of project activity and may be responsible for developing uniform procedures system wide. Provides feedback to communicate project findings as appropriate
3. Develop reports, PowerPoints, spreadsheets and other deliverables assigned
4. Tracks regulatory requirements for key infrastructure and building systems
5. Monitors project deliverables and timelines, notifies management when issues arise, and take corrective actions, as needed. Site visits are required.
6. Coordinate ordering, follow up of receipt and invoicing as necessary.
7. Responsible for conference travel planning, and departmental correspondence as it relates to the project
8. May be responsible for communication with outside contractors and/or vendors and consultants as required by the project.
9. Coordinates periodic project management meetings with architectural and engineering consultants, contractors, subcontractors and user clients
10. Coordinates and schedules work with other departments
11. Examines design and construction work, reports findings, follows up with corrective work
12. Effectively assists with managing and reporting costs to budget on monthly commitment plans
13. Assists VP & SVP with administrative duties of the department
14. Other duties as assigned
