A london local authority has an office in Heathrow which houses animals coming in from other countries. This is an exciting opportunity for an animal lover in the local area to work on a busy reception desk in an administrative role to start asap for the next 4 weeks possibly longer on an ongoing basis.
Your new role
To carry out reception and administration duties related to the activities carried out at with an Animal Reception Centre.
Main Duties & Responsibilities
Carry out reception duties, receiving pet owners, agents, airline representatives and visitors to the Animal Reception Centre.Maintaining the internal database, inputting consignment information into the database and generating reportsCoordinating the transfer of documents related to consignments and liaising with relevant agencies to ensure security of information and quality of service.Check paperwork of animals travelling by air to ensure compliance within the legislative framework (Pet Travel Scheme).Carry out pre-approvals of assistance animal documentation and communicate requirements with owners, agents and airlines.Deal with enquiries from public and airlines regarding shipment of animals by air.Receiving payments for services provided and calculating charges.Raise invoices for services provided and process payments in line with the corporate procurement policy.Carry out basic stock control to ensure supplies meet demands. Place orders with approved suppliers as requested.Schedule maintenance work with approved contractors and act as a point of contact.Coordinate work experience placements and assist with booking and making provisions for visitor groups.Carry out Animal Attendant duties as appropriate to support the Animal Attendant team at peak times.Actively seek to implement the organisations Health and Safety Policy in relation to the duties of the post, and at all times give due regard to the health and safety of both themselves and others when carrying out their duties.Actively seek to implement the organisations Equal Opportunity Policy and the objective to promote equality of opportunity in relation to the duties of the post.To undertake any other duties that may reasonably be requested appropriate to the grade
What you'll need to succeed
- Intermediate computer literacy skills
- Excellent customer service skills
- Knowledge of financial procedures
- Experience of working with customers
- Experience in an office environment Good communication and written skills
What you'll get in return
The opportunity to work in a friendly environment the Working Hours are; 7am-3pm or 8am-4pm Monday to Saturday. Every other Saturday in lieu of weekday.
