Job Title: Project Coordinator I - Talent, Development and Learning Assists in creating and executing plans for specific basic and moderately complex projects which fall outside the regular operations of the department. The Project Coordinator follows projects through all phases by assisting in the development of the project plan, and ensuring adherence to the plan by monitoring daily tasks, communicating with those involved and providing detailed updates to project managers and/or other stakeholders. Roles & Responsibilities: Scheduling & Coordinating Establishes the coordination of basic to complex project activities and ensures the quality, timeliness, and integrity of ongoing projects and schedules. Develops and maintains a detailed project schedule which includes administrative tasks. Ensures adherence to deadlines. Monitors project deliverables and timelines, notifies management when issues arise, and takes corrective actions, as needed. Organizes and coordinates elective learning course, programs, and special events. Coordinates logistics, technical support (IT requests, making food and beverage arrangements, etc.) and other related activities. May assist in special events planning. Enroll participants into programs, distribute materials pre/post sessions Project/Program/Elective Learning Course Support Assists with planning, coordination and execution for in-person, virtual or blended learning channels Collaborates with trainers and presenters to prepare and distribute course materials in person or virtually Field questions about programs (requirements, registration etc.) and provide support to participants before, during and after program/event May assist with the creation and execution of the marketing strategy (print and digital) Coordination for courses, programs, events etc. may include but is not limited to in-person support, virtual assistance over Zoom (producer role) etc. Administrative Tasks Organizes, leads and facilitates project-related meetings, including the creation of agendas and preparation of materials. Prepares and/or edits meeting minutes, presentations and tables. Maintains detailed records and documentation of program/project/course activity and may be responsible for developing uniform procedures for storing and keeping appropriate documentation. Data and Reporting Creates and updates courses in PEAK -Learning Management System and monitors attendance, gathers course rosters, assigns credit for completed courses and initiates follow up surveys. Creates and formats reports to help us understand attendance, utilization and impact. Researches/gathers and collects data from different parties and presents findings and preliminary analysis as applicable. Researches problems, issues and concerns and responds to requests for information.
