This position will also back up the Payroll Supervisor when needed with various auditing tasks, assist and support all departments and locations with timekeeping and payroll related tasks, input and maintain accuracy of all payroll records in Kronos Workforce Central. Essential Position Functions Shared responsibility in preparing, input and processing of all payroll information required for multi-state semi-monthly payroll for over 1400 employees using Kronos Workforce Central payroll and timekeeping system. Troubleshoot and correct timesheet problems for payroll processing; prepare, input and process manual checks on an as needed basis; process terminations and final checks. Precise data entry of employee status changes including new hire and termination paperwork and the maintenance of personnel records; audit and reconcile a wide range of personnel actions and payroll documents. Review and maintain PTO balances and coordinate any necessary changes. Assist in the testing of the payroll system as it relates to Legislative updates and/or patches. Collaborate with multiple business teams to identify areas for process improvement; coordinate and lead related special projects. Conduct periodic internal audits of the payroll and HRIS system to ensure data integrity. Perform a range of accounting level support for the Accounting department and prepare materials for external auditors as needed. In addition to day-to-day payroll administration, processes more complex payroll items and provides guidance to other members of the payroll team related to complex items. Approve the flow of Employee Self Service changes in Kronos; resolve questions and issues from managers and employees in a polite and helpful manner Maintain confidentiality in accordance to company policies, with respect to employee and other financial information. Perform payroll close tasks such as quarterly taxes and balancing year-end W-2's. Maintain current knowledge and ensure compliance of applicable state and federal wage laws. Partner with the Legal department in reviewing doctor contracts, audit doctor compensation and prepare doctor compensation summaries. Preparation of periodic payroll and related reports, including but not limited to internal needs and external reports such as quarterly tax returns. Maintenance of payroll records and related records in a neat and organized manner for easy filing and retrieval of documents as needed. Proactively assist in procedure clarification to improve reporting and efficiencies. Job Qualifications AA degree in business or accounting related field and a minimum of five years’ work experience in an office environment processing payroll, cash disbursements, accounts payable or related functions, is preferred OR equivalent combination of education and experience which will provide the ability to perform the essential functions of the position. CPP certification is preferred. Knowledge of: Microsoft Office applications, including Outlook, Word with an intermediate knowledge of Excel. Federal and state payroll tax, wage and hour law, and payroll policies. Experience using Kronos Workforce Central payroll and/or timekeeping products preferred. Skill In: Accounting software and administration skills. Utilizing electronic spreadsheets to validate payroll data. Understanding complexities between scheduling, timekeeping, HRIS and payroll modules. High degree of organizational skills. Ability to: Multi-task and work well under pressure with energy and enthusiasm. Ability to take personal initiative, meet and manage deadlines and have a strong attention to detail. Analyze issues and recommend workable solutions to improve efficiencies. Communicate effectively and professionally with all levels of management, employees and outside sources and maintain a high level of customer service. Work in a team environment and be flexible to assist in other department projects and tasks. Additional qualifications: Current government mandates require full COVID vaccination status, or lawful exemption status, for all persons, including student externs, who will be working or present in an Oregon or Washington health care facility. A pending federal government mandate may require other individuals to attain full COVID vaccination status, lawful exemption status or weekly COVID testing. These rules will be implemented as required by the law. Quarantine may be required for persons working or present in a health care facility, experiencing signs or symptoms of COVID infection or after being exposed to someone who is COVID positive.
