The Payroll Specialist will assure proper preparation, processing and handling of payroll records, related information and procedures in support of company policies and governmental rules and regulations. This position will also assist and support all departments and locations in related tasks, input and maintain accuracy of all payroll records in UKG Pro and UKG Workforce Dimensions. Essential Position Functions Shared responsibility in preparing, input and processing of all payroll information required for multi-state semi-monthly payroll for over 1400 employees using UKG Pro payroll and UKG Workforce Dimensions timekeeping systems. Prepare, input and process manual checks on an as needed basis. Precise data entry of employee status changes, new hire and termination paperwork, and maintenance of personnel records. Process final checks and terminate employees. Troubleshoot timesheet problems and correct them for payroll processing. Review and maintain PTO balances and coordinate any necessary changes. Research and resolve payroll issues and reconcile bank transit and lost check issues according to company policy. Resolve questions and issues from managers and employees in a polite and helpful manner. Maintain confidentiality in accordance to company policies, with respect to employee and other financial information. Perform payroll close tasks such as taxes and reporting. Maintain current knowledge of applicable state and federal wage laws. Ensure compliance with all state and federal wage and hour laws. Non-Essential Position Functions Preparation of periodic payroll and related reports, including but not limited to internal needs and external reports such as quarterly tax returns and monthly/quarterly BLS reporting. Maintenance of payroll records and related records in a neat and organized manner for easy filing and retrieval of documents as needed. Proactively assist in procedure clarification and documentation to improve reporting and efficiencies. Additional duties as assigned. Job Qualifications AA degree in business or accounting related field and a minimum of three years’ work experience in an office environment processing payroll, cash disbursements, accounts payableor related functions, is preferred OR equivalent combination of education and experience which will provide the ability to perform the essential functions of the position. Licenses, Certificate and Registrations: CPP certification is preferred Knowledge of: Microsoft Office applications, including Outlook, Word with an intermediate knowledge of Excel. Federal and state payroll tax, wage and hour law, and payroll policies. Experience using UKG Pro payroll and/or UKG Workforce Dimensions timekeeping systems preferred. Skill In: 10-key by touch with high speed and accuracy. Utilizing electronic spreadsheets to validate payroll data. Understanding complexities between scheduling, timekeeping, HRIS and payroll modules. Ability to: Multi-task and work well under pressure with energy and enthusiasm. Ability to take personal initiative, meet and manage deadlines and have a strong attention to detail. Analyze issues and recommend workable solutions to improve efficiencies. Communicate effectively and professionally with all levels of management, employees and outside sources and maintain a high level of customer service.
