Position Summary: The Administrative Manager (Inbound Fiber) is responsible for oversight and guidance of providing a schedule for fiber loads coming into the mill and providing outstanding customer service to suppliers. Creating best practices and efficiency throughout the Inbound Fiber department and staff. Responsibilities include but are not limited to management of staff in making release numbers, applying freight rates, setting up new customers, and providing reports to mill buyer. They must be able to work efficiently in Microsoft Word and Excel, and be able to communicate clearly with the customers, the team and the leadership. Essential Functions/Position Responsibilities: Follow all company policies per Employee Handbook & Code of Conduct. Follow all company safety guidelines. Performs other job-related duties as assigned. Work with group to ensure that mill buyers are supported on scheduling loads into the mill and make release numbers for those loads Lead, train and monitor the set up new customers in data base Enter pricing for loads coming into the mill and reconcile pricing with mill buyer Build and maintain a good working relationship with all customers At times travel with mill buyer to help build relationships Monitor customer payments and report to GM Oversight and application of freight rates as needed Ensure IFC’s are reconciling freight rates daily Work with the dispatch team to make sure all loads are picked up when needed or properly rescheduled with customers Guide and provide light load feedback to mill buyer and procurement reps Monitor the process of debit and credit memo’s Provide reports for the mill buyer as requested Provide a detailed department schedule of coverage if Scale Manager is out and/or unavailable Communicate and support the brokerage team Supervisory Responsibilities: Inbound Fiber Coordinators (regions) Hiring Requirements/Preferences: Professional Attitude & Conduct to support and communicate with co-workers, leadership and the general public at all times. Ability to train and manager people and processes throughout department Develop Best Practice and Training Guide Multi-task, interpersonal communication, problem solving, and time management skills are needed. High degree of safety awareness and safety discipline Strictly adhere to safety requirements and the policies and procedures as outlined in the Employee Handbook. Wear personal protective equipment (PPE) in designated operations and production areas as stated by PRATT Safety and OSHA. Willing to travel and work away from home when and if required. Be willing to work nights and weekends when necessary. Have the willingness to work in a team environment and assist co–workers or supervisors with other duties as required. Be at least age 18 years of age due to nature of working environment. You will be expected to be flexible to the needs of our business, as we continually strive to meet and exceed the needs of our customers.
