Þscription Responsible for implementation and management of institutional inventory control systems (i.e., Pathways Medical Management (PMM) program) and training, orientation and oversight of data analyst and support staff. Responsibilities 1.Manages institutional inventory control systems; oversees the accuracy and integrity of databases and files (item, vendor, cost center, object code, etc.) used in inventory balance. 2.Orients, trains, coordinates and schedules work assignments and maintains competencies of all data entry analysts and support staff on institutional inventory systems. 3.Develops and implements policies and procedures necessary for the accurate and effective use of inventory applications. Orients and trains user staff. 4.Develops management reports necessary for the effective management of stock inventories (currently valued at $30M year) in receipts and issues. 5.Provides consumption reports to end-user departments to forecast inventory usage and for budgetary preparation. Prepares volume reports by vendor to assist in the contract renewal process. 6.Provides commodity reports that may assist in standardization efforts by identifying high volume/high dollar areas of opportunity. 7.Interviews potential new hires; evaluates and disciplines, as necessary, staff engaged in data management responsibilities. 8.Organizes yearly physical inventories at significant stock locations, including: Offsite Distribution Center, Storerooms, Operating Rooms, Pharmacy, Cath Lab, Sterile Processing, Anesthesiology, Radiology and Mount Sinai of Queens. 9.Takes responsibility for the additions, deletions and editing of files that comprise the hospital-wide inventory application. 10.Maintains and develops relationships with third-party inventory vendors. 11.Coordinates hospital conversions at the request of Value Analysis. 12.Takes responsibility for the handling of product recalls by researching purchasing history, removal and substitution of recalled product. Places orders for departments for substitute products as needed. 13.Communicates with vendors to expedite open purchase orders, discusses lead-time problems, backorders and product availability. Keeps management abreast of manufacturer backorders and stock cuts. 14.Interfaces with Purchasing and in the negotiation of supplies. 15.Interfaces with Accounts Payable in solving credit-hold situations. 16.Acts as liaison between the Print Shop and vendors as regards to printing and replenishment of NCR forms, and ensures availability of forms at all times. 17.Plays an active role on the hospital Forms Committee. 18.Assists in JCAHO preparations. 19.Other duties as assigned. Qualifications Bachelors degree in data management or related, Masters desirable, and/or combination of equivalent experience 5 years in Windows-based inventory applications, with a minimum of 3 years experience in supervisory or management in data-entry functions.
