Main function of the job: -
Document Controller is a professional who maintains organized and updated documents for company business using document management software, uploading or scanning paper documents, obtaining documents, and ensuring proper archiving, handling and secure storage.
Duties and Responsibilities: -
· Manage and maintain all company documents, document control data base and ensure the flow of documentation within the organization in line with company procedures.
· Ensure documents proper labelling, numbering, and accessibility to employees and maintain a secure storage space for these documents.
· File documents in physical and digital records and ensure appropriate storage at head office or at construction site.
· Ensure a timely, accurate, efficient preparation and management of documents.
· Carry out copy, scan, maintenance and store documents in a proper and secure storage.
· Check and edit incoming documents and prepare for both hard copy and electronic distribution to all company users.
· Manage document control centre for projects filing system and organize for both effective and efficient handling.
· Check for accuracy and edit files like contracts.
· Review and maintain the accuracy of the records, editing where necessary to ensure they are up to date.
· Review and update technical documents (e.g., manuals, drawings and workflows)
· Log document requests, help retrieve documents as needed and support project team by managing incoming / outgoing information and document on daily basis.
· Assisting projects managers, maintain confidentiality around sensitive information and terms of agreement.
· To liaise with and distribute project related information with all levels of the project team and potentially external parties.
· Take charge of all document identification, classification, filing and frequently conduct document audits confirming they are current and accurately reflect recorded evidence.
· Oversee document through its entire lifecycle (inception to archival)
· Maintain the daily document IN/OUT registrar, distribute documents to relevant recipients and ensures delivery of documents to the concerned personnel.
· Update documents control procedure and forms.
· Prepare clerical work such as memos, letters, emails and reports for the business.
· Prepare progress reports on projects documents control as needed.
Qualifications & Experience: -
· Education: - Minimum Diploma in Business Management, Administration or related field.
· Experience: - Minimum 12 years of experience in document control, archival, electronic document management system (EDMS) and other document management software.
· Proficient in clerical office work including typing and editing skills.
· Excellent interpersonal, organizational and team player skills.
· Excellent English written and verbal communication skills.
· Computer skills MS office.
