«out The Role The Human Resource Administrative Assistant will play a key role and provide professional support to the Corporate HR Team. Will strive for accuracy and carefulness of work, paying close attention to detail, rechecking, and proofing work to ensure a high level of quality while maintaining strict confidentiality. Assistant will coordinate Onboarding and Offboarding of employees to help maintain our commitment to a positive work culture and successful employee experience. This is a Corporate Position, which can only be located in Kalispell, MT. The mid-point for this position is $24.51 per hour (calculated for Kalispell, MT). All compensation offers are analyzed individually and take into consideration multiple factors including but not limited to geographic location, years of experience, and educational background. Description HR Department Support: Review and submit all approved HR invoices electronically for final approval and payment. Complete payroll verification following each pay cycle and serve as department timekeeper. Manage employee car rental program and users in electronic door access system. Complete verification of employment requests and monitor unemployment inbox. Track annual employee acknowledgments including the 5 Days Off Policy ensuring deadlines are met. Coordinate and host monthly virtual HR meetings including meeting set up, creation and distribution of agendas and meeting minutes. Serve as Building Safety Ambassador and Wellness Coordinator. Assist with onsite screenings as needed. Maintain an up-to-date Corporate organizational chart. Employee Onboarding and Offboarding: Coordinate new hire onboarding including communicating and arranging logistics with hiring managers. Assist employees with Onboarding questions. Accurately enter new hires into the HRIS System. Coordinate employee terminations including working with supervisors to complete termination checklist. Prepare and distribute employee termination packets and paperwork. Complete termination process in HRIS. Filing and Mail: Assist with organization, filing, and maintenance of documents related to bank acquisitions, severance agreements, and employment contracts. Create new employee electronic files within 5 days of hire. Request and track receipt of transfer files from divisions. Pull terminated files to archive. Perform annual audit of Active employee and Terminated employee files. Coordinate the archive of files for offsite storage per retention schedules. Sort and distribute daily department mail. Package and mail new hire gifts prior to start date. Administrative support: Greet all visitors and guests in a professional manner. Answer phone for the Chief Human Resources Officer when unavailable and directs calls. Maintain and order department supplies, business cards, name tags, and new hire gift inventory. Coordinate office repairs and annual office upkeep with bank division maintenance personnel as needed. Arrange meals for meetings and events. Special Projects: Assist Chief Human Resources Officer with time sensitive and confidential projects as needed. Other special projects may include department mass mailings and printings, complex mail mergers, Advanced Word Processing, and PowerPoint presentations. Must comply with all company policies and procedures and all applicable laws and regulations, including but not limited to, the Bank Secrecy Act, the Patriot Act, and the Office of Foreign Assets Control. Must complete the assigned online training courses and achieve a passing score by due date. Education Required/Preferred Education Level Description Required A high school degree or equivalent required. Preferred Associate Degree 2 year degree in a Business or Human Resource related field. Experience Required/Preferred Experience Level Description Required 3 years Minimum of 3 years administrative experience in an office environment. Required Advanced Experience Advanced word processing and computer skills including MS Office Suite (Word, Excel, PowerPoint) and Adobe Acrobat. Demonstrated ability working with spreadsheets and performing complex mail merges. Preferred Knowledge Of Working knowledge of HRIS platforms or Human Resource experience. Additional Requirements Travel Occasional travel required: (less than 10 days per year) by automobile (as driver and passenger), commercial airlines, rental vehicles and public transportation and be able to lodge in public facilities.
