Position Overview The Collision Department Receptionist / Admin receives incoming calls, determines the nature of each call and directs the caller to the appropriate person or department. Answers basic inquiries, takes messages, maintains the front office/ lobby, and assisting the Collision Center Manager with various administrative tasks. This is considered an entry to mid-level role and does not require previous experience working in office administration. Who Would I Interact With? This position interacts daily with Customers, Technicians, Parts Associates, Cashiers, Sales Associates and Managers, just to name a few. What are the day-to-day responsibilities? Be friendly, professional, courteous and efficient when working with all customers and employees Meet and greet customers in a professional manner, both in person and over the phone Communicate with callers in a professional, friendly and efficient manner, striving to minimize the amount of time spent on hold Take thorough messages, indicating the callers first and last name, company name if applicable, the time and the message the caller wishes to leave Provide basic information to callers who have general inquires and schedule appointments as needed Ensure that all documents are accounted for during the process of repairing a vehicle and file the completed file Prepare all vendor invoices and assign purchase order numbers as necessary Obtain customer and vehicle data as needed for collision center estimators Maintain Customer Satisfaction Index rating comparable to that of the manufacturer or dealership average Obtain customer's signature on repair order; provide customer with a copy Receiving invoices and matching them up with the unpaid insurance invoices before turning them in for payment Establish each customer's method of payment and post all funds received from the repair of a vehicle to the appropriate repair order Call customer when vehicle is ready and schedule the appointment for the vehicle to be picked up Prepare the funds for deposit by making copies of the invoices paid as well as the checks and currency received as payment for the repair Assist with filing duties and other administrative tasks as needed Attend meetings and trainings as scheduled Perform other duties as assigned What are the requirements for this job? High School diploma or equivalent Possess excellent written and verbal communication skills Ability to operate a multi-line switchboard Ability to read and comprehend instructions and information Ability to work well with the public Professional appearance Excellent oral and written communication skills Spanish bilingual, helpful but not required . . . . . . . . . . . . .
