The opportunity: Are you a talented individual with a proven track record on achieving client service excellence by delivering timely, high-quality products? Our Real Property Appraisal Valuations team in Toronto is looking for a professional like you with the skills and drive to make a real difference. As an Administrative Assistant and Technician, you will be encouraged to use your initiative, develop your knowledge in real property valuations and provide research support, working alongside a team of professionals. If you have advanced technical skills, an energetic an engaging personality, exemplify professional and service excellence, this role may be for you. What you will do You will provide full and confidential administrative support including proactive management of executive calendars and contact database Take ownership for research activities and survey creation, managing and coordinating with the team Proactively develop knowledge of our external clients (i.e., market intelligence) to enable high quality client deliverables and focus on proactively enhancing service excellence Coordinate, prepare, edit and/or proofread documents such as correspondence, presentations, and reports using various software Work on projects and activities that support the organization’s strategic direction Develop an expertise and knowledge of the business and the firm’s practices, policies, and procedures Ensure required risk management / compliance information is received by the Engagement Team, and proactively follow up with the Engagement Team as required Proactively initiate the preparation of billings to ensure all services are billed on a timely basis Plan and coordinate cost-effective travel arrangements and itineraries using Concur Coordinate meetings, conference calls, video conferences, net meetings, and events, organize materials and take minutes Assist in the preparation and submission of time and expense reports What you bring to the role 4+ years senior level administration experience with an ability to be proactive and anticipate outcomes Proven ability to prioritize and adapt to changing demands, deadlines, and a confidence to ask questions Ability to deal with sensitive materials with a high degree of tact, discretion, Exceptional organization, time management and communication (verbal & written) skills Attention to detail with an aptitude for proofreading, editing, and preparing final documents Discretion in handling confidential information Self-starter, with a sense of humour and ability to work effectively in a fast-paced environment Experience working with large database/systems Advanced skills with MS Office: Word, Excel, PowerPoint, Outlook; experience with client databases (SAP) a definite asset
