The Role: Executive Assistant The Team: The Commodity Insights and Mobility legal teams within S&P Global Legal and Regulatory Affairs Department are responsible for providing overall legal and regulatory support to the Commodity Insights and Mobility divisions of S&P Global. The Impact: As an Executive Assistant to the General Counsel of Commodity Insights and Mobility and the Legal Leadership team for those divisions, you will act as a liaison between the executive team and supporting departments to execute on all required administrative and operational needs. You will become part of the fabric that allows the S&P Global Legal Department to provide excellent support to the Corporation. Responsibilities: Proactive and independent calendar management: Maintain Divisional General Counsel’s and Leadership Team’s calendar by planning and scheduling meetings, conferences, teleconferences, and travel. Ability to make independent judgement calls regarding calendar management. Anticipate the need for preparation and travel time. Internal partnership & collaboration: Interact with senior executives within the Corporation and senior-level external stakeholders. Establish collaborative and friendly relationships with EAs for key internal and external stakeholders. Establish clear stakeholder expectations and ensure deliverables are completed on time. Internal meetings and offsites: Plan and execute planning sessions, meetings and offsites. Work with leaders to set and socialize agendas, organize meeting logistics, secure and test technology requirements (including on-site and virtual meeting room technology), meeting materials, act as point of contact for incoming visitors, etc. T&E, expense management & reporting: Timely and accurate creation of monthly expense reports for each executive, ensuring submission well in advance of month-close deadlines and providing ample time for questions to be addressed. Business travel: Make seamless and efficient business travel arrangements in accordance with personal travel preferences. Support leaders while in transit, being responsive to schedule changes or delays that impact related commitments (meeting start times, airport pickups, etc.). Anticipate and plan for required visa / entry requirements (COVID testing or otherwise). Ensure directions and documentation of travel arrangements are thorough and up-to-date. Hybrid Work Environment: Since the COVID-19 Pandemic, most of our employees are currently in a hybrid work setting. Ideally this role will be hybrid (remote and in-office). The preferred candidate is equally effective working in a remote environment as in an in-office environment. Records Management and Reporting: Prepare correspondence, reports, presentations, agendas, meeting minutes, etc. Maintain central point of record for all relevant information (travel, schedule, preferences, expenses, etc.). Provide historical reference by utilizing filing and retrieval systems and meeting discussions. Prepares reports by collecting and analyzing information for the team. Confidentiality and discretion: Maintain a smooth flow of information while exercising a high level of discretion in managing the confidential and sensitive nature of communications, including legally privileged communications and matters. Support Legal Function-Specific Project and Tasks: Supporting substantive projects including intellectual property maintenance and enforcement, contract administration, What We’re Looking For: At least 5 years of administrative experience in a corporate setting Strong experience in scheduling and managing a complex, demanding, and changing schedule for an executive Excellent verbal, communication and written skills, excellent time management as well as have a natural ability to set priorities, stay organized, meet deadlines, multi-task, and mentor, coach and develop others. Highly organized and detail oriented, with a demonstrated ability to manage complex tasks and prioritize competing demands proactively. A strategic and independent thinker who is adept at taking initiative and multi-tasking in a fast-paced environment, able to plan, prioritize, and organize individual and group activities and processes A person who presents a high degree of maturity, honesty, trust, sophistication, and integrity and cultivates these qualities in others. Outgoing, straightforward, and creative Committed to, and enthusiastic about, the mission and vision of S&P Global Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) Be comfortable working with employees in remote locations. Interacts with management and executives as well as external contacts to receive and provide confidential, sensitive information.
