The Administrator/Office Supervisor is responsible for performing secretarial and administrative duties. The Administrator/Office Supervisor executes complex and confidential secretarial and administrative assignments. This person applies advanced computer, social media and process skills with a detailed understanding of the organization's operations and assists with day-to-day activities supporting the Division Manager and team.<br> <br> <b> Roles and Responsibilities: </b><br> <ul> <li> Answer calls and handle requests for information at an advanced level.</li> <li> Should be customer-centric focused, agile and proactive</li> <li> Should be Social Media savvy</li> <li> Set up and maintain department records and files.</li> <li> Arrange travel schedules and reservations.</li> <li> Organize meetings including scheduling, sending reminders, organizing catering when required</li> <li> Schedule conference rooms, audio/visual equipment and other materials as requested.</li> <li> Monitor sales expenses by analyzing, tracking, and summarizing expenses</li> <li> Perform minor accounting duties as needed</li> <li> Report inventory and/or service issues to appropriate persons immediately</li> <li> Assist and update customer records in the company database as required</li> <li> Should be proficient with the Salesforce platform</li> <li> Strong knowledge of MS Office suite including PowerPoint and assist accordingly</li> <li> Help with the submission of expense claims</li> <li> Place orders in SAP as needed</li> <li> Process cross division cross charges via month-end FTL tickets for ART</li> <li> Keep track of any fiscal and financial deadlines and inform Manager in advance</li> <li> Assist with SLB application QUEST reporting SQs related to low customer satisfaction surveys, report SQs meetings, report audits and assist with the annual CAT Audits, completing training etc.</li> <li> Type and proofread formal letters, interoffice correspondence, communications and miscellaneous documents; compose correspondence and responses to inquiries independently.</li> <li> Supervise and train others and provide technical assistance to Field personnel as required</li> <li> Monitor accuracy, completeness, and timeliness of all critical business systems transactions.</li> </ul> <br> <b> Qualifications and Experience </b><br> <ul> <li> Minimum High School Diploma, College diploma or certificate in administration is preferred.</li> <li> Minimum 5 years' experience in a sales administration or management administration role.</li> <li> Previous experience with social media, LinkedIn, Instagram etc. is required.</li> <li> Previous experience with SAP & Microsoft 365 suite is required. MS Power-BI is an asset</li> <li> Excellent communication skills both verbal and written.</li> <li> Strong analytical and effective written and oral communication skills</li> <li> Excellent organizational and problem solving</li> <li> Ability to handle high volume tasks</li> <li> Strong quality focus with attention to details, and ability to prioritize tasks with minimal supervision</li> <li> Ability to collaborate with others in teams</li> <li> Commitment to continuous improvement and comfortable performing in an evolving work environment</li> <li> Candidates must be able to legally work and reside in Canada, without sponsorship</li> </ul> <br> Schlumberger Canada Limited is committed to workplace diversity and employment equity and supports initiatives to enhance employment opportunities for local workforces and Indigenous Persons.
