KPMG Calgary is currently looking for an Executive Assistant to provide exceptional support to Leadership Partners. What you will do Role and Responsibilities The successful candidate will be responsible for: Primary Calendar Management - Manager the partners' calendars/schedules to maximize best use of their time. Proactively and independently manage calendar conflicts. Client relationships - Independently respond to client enquiries and escalate complex client enquiries to appropriate parties based on knowledge of practice/structure and work process. Ensure all client calls are responded to. Meeting Management – Schedule, coordinate and organize meetings (conference calls, video conferences, in person etc.). Including all logistics as required (attendance, producing minutes, capturing, and following up on action items). Marketing/Business Development – Maintain contacts in the Client Relationship Management module within KPMG’s Integrated Business System. Travel Management – Plan and coordinate extensive national and international travel for the partners. Expense/Time reporting – Complete and ensure timely submission of time and expenses reports for the partners. Secondary Event Coordination - Work with Event Management team in coordinating Events/Functions as required. Document Preparation and Coordination – Coordinate, prepare, edit and or proofread standard and non-standard documents such as correspondence, presentations, and reports using Microsoft Word, Excel, and PowerPoint. Organize, coordinate and prioritize all incoming and outgoing information/correspondence. Ensure branding compliance for all KPMG correspondence. Draft complex presentations slides using PowerPoint. Correspondence Support – Read and analyze incoming memos, submissions, and reports in order to determine their significance and plan their distribution. Prepare responses to correspondence containing routine inquiries. Other administrative tasks as assigned. At times, business needs arise and employees are required and agree to work beyond their normal work day or work week to fulfill the accountabilities required for their job. Likewise, people need extra time to devote to personal matters, and our approach to flexibility provides for this. What you bring to the role A successful candidate will possess the following skills and behaviors: College diploma or an equivalent combination of education/experience in administrative assistant skill set. Minimum ten years administration experience, several supporting a senior executive. High degree of initiative and judgment when responding to queries from staff, clients etc. Ability to prioritize and multitask is essential. Maximizes the value of partner time by proactively identifying and taking accountability for all administrative matters. Proven time management and organizational skills. Ability to discreetly deal with confidential and sensitive matters. Ability to see the “big picture”. Strong internet and computer skills to conduct research. Flexibility to work outside of normal working hours. Proven proficiency of English language and proofreading skills. Well developed understanding of the business and market context for KPMG’s lines of business. Accuracy and attention to detail. Excellent grammar, vocabulary and communication skills.
